Matheny Medical and Educational Center, a unique special hospital and school for children and adults with medically complex developmental disabilities, is seeking a:

Administrative Assistant - School

*Full Time*

Responsibilities include:

  • Maintains data bases on parental/guardian contact information, school district contact information, DDD, DYFS, bus district contact information, DCFS and other external agencies. Distributes school mail and internal memos.
  • Collects data for the classroom budget within the school
  • Collects and organizes Bi-weekly Timesheets
  • Maintains the IEP books & calendar, and keeps accurate records of all correspondence with sending districts
  • Maintains IEP database; updates and inputs when IEP is received (giving original to Curriculum Supervisor for review, copy to teacher, and old IEP to be archived)
  • Collects, and corrects all School based IEP reports, PLAAFPs, and other reports at the direction of the school administration
  • Schedules Planning, IEPs (Initial, annual, revaluation, and/or discharge), DYFS, and behavior meetings at times that do not interfere with instructional times.
  • Maintains all school reports and records as per FERPA
  • Obtaining district information and SMARTS (re: state approved student id numbers for APA’s and IEP’s)
  • Assists school faculty with daily responsibilities including correspondence, scheduling, supplies, brief memos, and answering relative questions
  • Takes minutes at all school related faculty meetings.
  • Has access and can add events to the Schedules of Supervisor of Special Projects, Curriculum Supervisor, and Technology Coordinator at the discretion of the Principal
  • Collects and tracks all SEMI forms and sends out copies of all certified school staff as requested by all sending districts.
  • Inputs and maintains all changes to student block schedules and caseloads
  • Correlates all new staff teacher packets
  • Correlates all parent packets (at start of year, end of year, and start of ESY)
  • Assists in the coordination of visitation and walkthroughs
  • Maintains the school calendar in the shared file and helps to coordinate all school wide events.
  • Answers the main school office line and directs calls as appropriate to the correct personnel.
  • Takes minutes at all instructional meetings except IEPs (Behavioral meetings, curriculum meetings, IEPs)
  • Runs Sales/Fundraisers on behalf of school (e.g. Macys Shop for a Cause)
  • Works with the Principal and team to keep up-to-date and compliant with NJAC.
  • Coordinates all Bus Duty, Lunch Rotation, and ADL schedules at the direction of school administration
  • Assists the Supervisor of Special Projects and teachers in the organization of data for the state mandated assessments
  • Complete state APA Forms
  • Inputs into state and federal databases as assigned
  • Other duties as assigned
  • Covers for Principal’s personal administrative assistant

    To qualify, Bachelor Degree preferred. Excellent communication skills, ability to deal with multiple deadlines and projects.

    While the great majority of Matheny patients have cerebral palsy as their primary diagnoses, Matheny also has patients with spina bifida, Lesch-Nyhan Disease (LND) and a wide range of uncommon conditions including Rett syndrome, Angelman syndrome, Cornelia De Lange syndrome, Wolf-Hirshorn syndrome and 4Q Deletion syndrome. Lesch-Nyhan Disease is a rare x-linked recessive disorder associated with cognitive impairment, high levels of uric acid in the blood, kidney involvement and the hallmark symptom -- severe and involuntary self-injurious behaviors. Matheny is recognized as the leading source of information on care issues regarding LND.
